meeting scheduling
Meetings without the email chain
Every IEP meeting across your caseload with its lifecycle stage and scheduled time. Propose slots, let the team and family respond, and watch the meeting confirm itself.

how scheduling works
From “we should meet” to a confirmed room
The meeting carries its own state (drafted, notice sent, finding a time, time set) so nobody has to reconstruct the thread.
invite-first
Propose times, not paragraphs
Pick a few slots and send one invite. Everyone responds to the same proposal (accept, suggest a different time, or decline with a reason) and the first slot that works for the room locks in automatically.
- Slot proposals the whole team and family respond to in one place.
- Responses are revisable: plans change, the invite keeps up.
- Auto-confirm the moment a slot works for everyone.
calendars
Your calendar already knows
Connect Google or Outlook and SyncIEP checks the team’s free/busy before proposing, flags conflicts, and lands every confirmed meeting on everyone’s real calendar.
- Google and Outlook connections for staff and families.
- A find-the-best-time grid built from the team’s actual availability.
- Conflicts flagged before the invite goes out, not after.
the team shows up ready
Notices on time, briefs in hand
Notice windows count down per meeting so invitations go out ahead of the deadline, and every attendee gets a brief tailored to their role. The co-teacher and the speech therapist don’t need the same page.
- Meeting notices tracked against the required window.
- Role-tailored briefs so everyone arrives with the right context.
- Meeting types with guidance on who should be in the room.
questions
Fair questions, straight answers
Do families need an account to respond?
No. The invitation lands in their email with a secure link, and they can respond to proposed times right from it. A family portal account adds more (progress, documents, calendar sync) but it’s never a requirement to schedule.
Which calendars does SyncIEP work with?
Google Calendar and Outlook. Staff and families connect their own accounts; confirmed meetings sync automatically, and the team’s free/busy feeds the best-time suggestions.
What happens when someone declines?
The meeting goes back to finding a time with the remaining slots, or you propose new ones. Responses stay revisable, and the meeting’s stage always shows where things stand.
Schedule the next one in one send.
Propose three times, and let the meeting confirm itself while you teach.
